Business Change occurs when an organization improves, restructures or transforms a major part of its operations disrupting systems, people and processes moving a company from where it is now to where it wants to be.
I read recently somewhere that a CEO wanted to digitize his business. What did he mean? turn it into a form that can be read easily by a computer?
He did not mean digitize. Like so many of us, he used the wrong term to express the idea of digitalization or digital transformation (both not the same), rather than digitization
What is Digitization?
Digitization means to convert something into a digital format, and usually refers to encoding of data and documents.
What is Process Digitalization?
Process Digitalization means to convert business processes over to use digital technologies, instead of analogue or offline systems such as paperwork or whiteboards. Communication between individuals is guided so that everyone works more efficiently and productively whilst reducing stress.

Requirements Specification
This is a document which describes in detail the workflow process to be automated, the inputs and outputs of each task and identification of those involved.
One of the main reasons that process automation can fail is that the Client may not fully understand or specify their processes to a level required to properly undertake the commissioning of software development.
Taking an inadequate level of a mapped process to a software developer is one of the main reasons for software failure upon implementation, and akin to signing them a blank cheque.
Whatever technology or supplier you intend to use you should start by creating a Requirements Specification detailing the scope of what you intend to do and which documents your process workflow. Ideally one that has been tested and verified.
Once created a Requirements Specification can be made available to third parties for competitive quotation.
